Streamlining Mental Health & Wellness Practices with CRM Solutions featuring Berit Elizabeth

Jul 23, 2024

In the latest episode of the Wellness Center Creators podcast, we had the pleasure of speaking with Berit Elizabeth, the innovative mind behind Practice Access—a CRM specifically designed for mental health practices. Berit's journey to creating this groundbreaking tool is as fascinating as the technology itself.

Berit began her career with a unique combination of social psychology and theater, eventually spending 15 years in sales and sales training across various industries like fitness, finance, and real estate. It was her role as a process consultant for a mental health practice in western Massachusetts that set the stage for what would become PracticeAxis. Initially, Berit aimed to introduce her somatic-oriented coaching technique, Emotive Agility, to the practice. However, she soon identified a significant gap in the tools available to manage client relationships in mental health settings.

"I thought, well, this is shocking that it doesn't already exist for mental health practices because therapy is so relationship based, and there's so many nuances in the process of acquiring new clients and matching them with a therapist."

A CRM, or Client Relationship Management tool, is a staple in many industries, used to track potential customers and manage data to improve client conversion rates. Surprisingly, such a tool tailored for mental health practices was missing. Berit combined her sales expertise with her passion for mental health to fill this void, creating PracticeAxis to streamline the intake process for therapy seekers.

But what exactly does a CRM do for a mental health practice? Berit explains that it ensures consistent and efficient communication with potential clients. When a therapy seeker fills out an appointment request form on a practice's website, their information is automatically entered into the CRM. This triggers a series of automated actions—emails, video messages, and follow-up calls—that guide the potential client through their next steps. This systematized approach not only speeds up administrative tasks but also provides a more personalized and consistent experience for clients.

"It's a way to systematize your intake process. If you're using a CRM, you can help speed up all those administrative tasks that you're repeating and repeating."

One of the standout features of Practice Access is its ability to handle complex family dynamics often seen in mental health settings. For example, a single therapy seeker might have multiple family members requiring different services. Traditional sales-oriented CRMs struggle with this complexity, but PracticeAxis is designed to manage such multifaceted relationships effectively.

Berit emphasizes that technology alone isn't enough to improve the intake process. Training for the client care team is crucial to maintaining the human touch and empathy essential in mental health care. The CRM serves as a supportive tool, assisting in building relationships rather than replacing them.

"The [CRM] technology assists in building relationships. That's what I kept in mind as I designed all of our surveys and workflows."

For solo practitioners and growing practices alike, Berit highlights the importance of data. Without a CRM, tracking client inquiries and conversions can become overwhelming, often resulting in missed opportunities and inefficiencies. PracticeAxis provides valuable insights into marketing efforts, hiring decisions, and service offerings, helping practices make informed decisions.

Berit's experience across various industries has brought valuable best practices to the mental health field. She encourages practices to distinguish between leads and clients, a common practice in other sectors but often overlooked in mental health. This distinction helps in tracking and improving client conversion and retention rates.
